Importing Content - step by step guide

You can import as many records at a time as you wish in the form of a CSV or TSV which are common export formats from a spreadsheet (excel, googledocs, numbers etc.)

Steps for use:

1)choosing the file for import
First go to "My record List" and click on "Import List"

Next browse to the file you wish to upload to be imported

Then choose CSV, TSV or autodetect (Autodetect will be adequate for most people)
For type make sure to choose "Record" if it is not already the selected choice. Now click "Next(mapping)"

2)Field Mapping
Because we can't expect our fields and the fields you have in your document to match up perfectly This is where we can choose how they match up. In the left most column (CSV header) that is the headings in your imported file. The next column is where you choose to import your data to. The third column "sample data" is the site showing you what it sees in the fields according to your mappings. This is a way for you to make sure you have your data going in to the correct place before moving on.

This is the first part that can be tricky for some people. For example you have a column in your CSV for the artist name. You would want to map that to "Artist Value(field_artist)" Below is a list of the choices of all the choices you would use and how they should match to your data. If there isn't a good match for something you can always leave the mapping to "none"

*Artist Value(field_artist) - Artist or Band name
*Album Name - Name of the album
*Color / # pressed Value(field_color) - This is for the color and the number pressed in that color
*For Sale/Trade Value(field_trade) - Is this record something you are willing to sell or not?
*Format Value(field_format) - record size 5, 6, 7, 8, 9, 10, 11, 12 or other
*Have or Want? Value(field_want_have) - do you have this record or do you want it?
*Label Value(field_label) The label the record is put out on
*notes value(field_notes) any additional notes or comments

Once your mappings are set how you want them click "next(options)"

3)Options
On the options screen you have an opportunity to override any of your data or auto fill any blank areas you wish to fill. A common use for this is the format, have or want and for sale/trade fields. For example; you are only importing the records you have but you didn't have a field for that previously station if you had it or wanted it. On this options screen you could then enter 'h' or 'w' denoting have or want and it'll auto add this to all the records you are importing. Or you are importing only your 7 inches and you have been keeping that in the format "7 inch". checkmyvinyl will only accept input in the form of 6 7 8 9 10 11 12 or other. Using the options screen you can easily just make them all be imported as 7.

If you don't want to, you don't have to enter anything on this screen. It exists only for making any overall corrections before the data is imported.

Once you are done with the options screen click "next(preview)"

4)Preview
This screen is giving you a preview of how your records will be imported. It is the last step before importing so make sure it all looks how you want it before you continue. By default it only show a sampling of 5 records. you can increase this number if you wish with the drop down at the bottom of the screen.

If you are satisfied with what you see go ahead and click "Apply(import nodes)". This will import all the data.

Now that you are complete the final screen will ask if you want to delete the CSV file from the server, go ahead and choose yes. This will not remove anything you imported just the file it used to import that you uploaded on the first step.

If for some reason after you import your data you notice large groups of records have incorrect information do not worry. You can always use the Bulk Edit function to edit multiple records at a time.
